Why a Member Confirmation Belongs at the End of a Personal Training Session

Understand FitWay’s post-session OTP workflow for personal training, how it records completion and why clear session records matter to members.

A personal training appointment has two different moments: it is booked, and it actually takes place. Good records need to distinguish between them.

In the FitWay system we have discussed, a member shares an OTP with the coach after the session. This helps record whether the session was completed and attended. Personal training commission is then calculated automatically after each session.

That is a practical administrative workflow, with the member’s confirmation at its centre. It is separate from judging whether the coaching itself was effective.

A booking is a plan; completion is a record

An appointment in a calendar tells you what was intended. It does not, by itself, establish that the member and coach completed the session.

Post-session confirmation connects the record to an event that has taken place. The timing matters: a request to confirm attendance should make sense in relation to the session it describes.

For a member, understanding that distinction makes the process less mysterious. The confirmation is about the session record, not an invitation to approve an unrelated transaction or share an account login code.

Ask what you are confirming

Before using any session-confirmation process, ask the team to explain it. Which appointment does it relate to? Where can you check your session record? Whom should you contact if something looks incorrect?

If you have not completed the session being referenced, raise the discrepancy rather than confirm it automatically. Follow the gym’s explained process and never substitute a banking, payment or account-login OTP for a session code.

These are sensible questions to ask about the workflow. We are not claiming a specific OTP delivery channel, expiry period or security guarantee that has not been confirmed.

Why it also matters behind the scenes

Coach commissions can create recurring administration when completed sessions must be counted and checked manually. FitWay calculates personal training commission after each session, providing a session-linked basis for that calculation.

The purpose is to reduce the work of reconstructing activity at month-end. It does not mean that the system automatically pays coaches, resolves every disagreement or removes the need to check exceptions.

A clear completion record benefits that review because the underlying session is easier to identify.

Keep attendance and quality separate

Confirming that a session happened does not mean a member has rated it positively or waived a concern. Attendance, coaching feedback and any correction request are different conversations.

Ask how to raise an issue if the record needs checking. Clear explanations are just as important as the software that stores the information.

Session-record questions

When is the session OTP shared?
In the confirmed FitWay workflow, the member shares it with the coach after the session.

Does confirmation mean the coach is paid immediately?
No automatic payout has been confirmed. Commission calculation and payment are different steps.

Does the code prove coaching quality?
No. It supports the completion record. Feedback on the experience still needs a separate conversation.
